Getting Started — For Team Members

Welcome to Projexia! Your agency uses this platform to manage projects, and you’ve been invited to join the team. This guide will help you get set up and show you around.

The team portal is designed to be simple and focused — you’ll see exactly what you need to do your job, without all the admin clutter.

Step 1: Accept Your Invite

  1. Check your email for an invitation from your agency.
  2. Click the Accept Invite link in the email.
  3. You’ll be taken to a setup page.

The invite link is valid for a limited time. If it’s expired, ask your manager or agency admin to send a new one.

Step 2: Set Up Your Account

On the setup page:

  1. Enter your full name.
  2. Create a password.
  3. Click Create Account.

You’re all set! You’ll be taken straight to your dashboard.

Step 3: Your Dashboard

Your dashboard gives you a quick snapshot of your workday. Here’s what you’ll find:

  • Assigned Tasks — Tasks that have been assigned to you, sorted by priority.
  • Active Projects — The projects you’re currently working on.
  • Overdue Alerts — A heads-up if any of your tasks are past their deadline.

Pay attention to the overdue alerts. If you see tasks that are overdue, prioritize them or let your manager know if you need help or more time.

Step 4: View Your Tasks

The My Tasks page is where you’ll spend most of your time. To get there:

  1. Click Tasks in the sidebar.
  2. You’ll see all tasks assigned to you.

You can view your tasks in two ways:

  • List View — A straightforward list with task names, due dates, and status
  • Board View — Visual cards organized by status (To Do, In Progress, Done, etc.)

Use the filters at the top to narrow things down:

  • Filter by status (To Do, In Progress, Review, Done)
  • Filter by priority (Low, Medium, High, Urgent)
  • Filter by project (if you’re working on multiple projects)

Start your day by checking your tasks sorted by due date. It’s the easiest way to figure out what to work on first.

Step 5: Track Your Time

Projexia has built-in time tracking so your agency can keep tabs on how long things take. You have two options:

Option A: Use the Timer

  1. Go to Time Tracking in the sidebar.
  2. Select the task you’re working on.
  3. Click Start Timer.
  4. When you’re done, click Stop.

The time gets recorded automatically.

Option B: Add Time Manually

Sometimes you forget to start the timer. No worries — you can add time after the fact.

  1. Go to Time Tracking.
  2. Click Add Entry.
  3. Pick the task, enter the date, and type in how long you worked (e.g., 2 hours 30 minutes).
  4. Add a short note about what you did (optional but helpful).
  5. Click Save.

You can also see a daily summary of all your time entries to make sure everything is logged correctly.

Your agency manager may review and approve your time entries. Make sure to log your time regularly — it’s often used for billing clients and tracking project budgets.

Step 6: Browse Files

Need to grab a design file, a document, or a reference? Head to the Files section.

  1. Click Files in the sidebar.
  2. Browse files by project.
  3. Click on any file to download it.

You can view files in a grid (thumbnails) or a list, depending on your preference.

What You Can Do

Here’s a summary of what’s available to you as a team member:

  • View projects you’re assigned to
  • See and manage your tasks
  • Track your time (timer or manual entry)
  • Browse and download project files
  • View your dashboard with task summaries and alerts

What You Cannot Do

To keep things simple and secure, some features are reserved for agency owners and managers:

  • You cannot create or delete projects
  • You cannot add or remove clients
  • You cannot access billing, invoices, or financial information
  • You cannot change other team members’ roles or permissions
  • You cannot access the agency settings or configuration
  • You cannot view other team members’ time logs (only your own)

If you need something that’s outside your permissions — like creating a new project or accessing a specific file — just ask your manager. They can either do it for you or adjust your access.

Tips for Getting the Most Out of Projexia

  1. Log your time daily — Don’t let it pile up. It’s much easier to remember what you did today than what you did last Thursday.
  2. Check your dashboard every morning — It takes 30 seconds and keeps you on track.
  3. Use task filters — If you’re on multiple projects, filters help you focus on one project at a time.
  4. Pay attention to priorities — Urgent and High priority tasks should always come first.
