Settings

The Settings page is where you configure everything about your organization — from basic company info to billing and portal branding. It’s organized into four tabs that you can switch between.

Go to Sidebar → Settings to get started.

On desktop, you’ll see the four tabs as a vertical sidebar on the left. On mobile, they appear as horizontal scrollable buttons at the top.


Organization Tab

This is where you enter your agency’s basic information. There are three sections:

Organization Details

  • Organization Name (required) — Your agency’s name. This appears throughout the platform and in communications with clients.
  • Email — Your agency’s primary email address.
  • Phone — Your agency’s phone number.
  • Website — Your agency’s website URL.
  • Industry — What kind of agency you are (e.g., Digital Marketing, Software Development).

Address

Your office address:

  • Address Line 1 — Street address
  • Address Line 2 — Suite, floor, building, etc.
  • City
  • State
  • Postal Code
  • Country

Tax & Billing

Tax registration numbers that appear on your invoices:

  • GSTIN — Your GST Identification Number (for Indian businesses). Format: 15 characters (e.g., 22AAAAA0000A1Z5).
  • PAN Number — Your Permanent Account Number. Format: 10 characters (e.g., ABCDE1234F).

These fields are optional but highly recommended if you plan to use the invoicing feature. Your GSTIN and PAN will be printed on invoices sent to clients.


Preferences Tab

This tab controls regional and display settings that affect the entire platform.

Regional Preferences

Three dropdown settings:

  • Timezone — Select your timezone. This affects how dates and times are displayed across the platform. Options include:

    • IST (India)
    • EST, CST, MST, PST (US timezones)
    • GMT (UK)
    • CET (Europe)
    • GST (Dubai)
    • SGT (Singapore)
    • AEST (Australia)
  • Currency — The default currency used for budgets and invoices:

    • INR - Indian Rupee
    • USD - US Dollar
    • EUR - Euro
    • GBP - British Pound
  • Date Format — How dates are displayed:

    • DD/MM/YYYY (e.g., 09/03/2026)
    • MM/DD/YYYY (e.g., 03/09/2026)
    • YYYY-MM-DD (e.g., 2026-03-09)

Dashboard Theme

Customize the accent color used throughout your agency dashboard:

  • Accent Color — Pick from 10 preset colors or enter any custom hex code. This color is used for buttons, active states, highlights, and other accents in your dashboard.
  • A color preview box shows you exactly what the color looks like.
  • You can also type a hex code directly (e.g., #2563eb) for precise color matching.

Preset colors include blue, purple, green, red, orange, cyan, indigo, magenta, teal, and dark blue.


Client Portal Tab

This tab controls whether your clients can access their portal and how it looks.

Enable/Disable Portal

A toggle switch to turn the client portal on or off:

  • Enabled — Invited client contacts can log in to view their projects, approve deliverables, pay invoices, and more.
  • Disabled — The portal is turned off. No clients can log in.

When the portal is enabled, you’ll see a green info box: “Portal is active. Your clients can access it at your portal URL. To give a client access, go to their detail page and click ‘Send Invite’ on a contact.”

When the portal is disabled, you’ll see an amber info box letting you know it’s off. The portal is also auto-enabled when you send the first invite to any client contact.

You don’t have to manually enable the portal before inviting clients. It turns on automatically the first time you send an invite.

Branding

Customize the portal’s appearance:

  • Brand Color — Pick a color from the presets or enter a custom hex code. This color is used for buttons, links, and accents in the client portal’s login page and throughout the portal interface.
  • A preview box shows the selected color.

Login Message

  • Portal Login Message — A custom message displayed on the client portal login page. Use this to welcome clients or provide instructions (e.g., “Welcome to our client portal. Log in to view your project updates.”).

The branding settings here apply as the default for all clients. If you set per-client branding (on the client detail page), the per-client settings override these defaults.


Billing & Plan Tab

This tab shows your current plan and usage.

Current Plan

Shows which Projexia plan your agency is on (e.g., Free, Pro, Business, Enterprise).

Usage Metrics

A breakdown of what you’re using vs. what your plan allows:

  • Team Members — How many team members you’ve added vs. your plan’s limit
  • Projects — How many projects you’ve created vs. your plan’s limit
  • Storage — How much file storage you’ve used vs. your plan’s allowance

Upgrade Options

If you’re on a lower-tier plan, you’ll see upgrade options showing what each plan offers and the pricing.

Payment Methods

Manage how you pay for your plan:

  • Add a credit card or other payment method
  • View existing payment methods
  • Set a default payment method

Billing History

A list of past invoices and payments showing:

  • Invoice date
  • Amount
  • Payment status (Paid, Pending, Failed)
  • Download option for each invoice

Only users with the Owner role can access the Billing & Plan tab. Admins, Managers, Members, and Viewers will see the other three tabs but not this one.


Saving Changes

For the Organization, Preferences, and Client Portal tabs, you need to click the Save Changes button (in the top-right corner) after making any changes. Changes are not saved automatically.

The Billing & Plan tab has its own save/update flows for payment methods and plan changes.

If you navigate away from Settings without clicking Save Changes, any unsaved edits will be lost. Make sure to save before leaving the page.
