Dashboard
The Dashboard is the first thing you see when you log in. Think of it as your agency’s homepage — it shows you the most important information at a glance so you know exactly what’s going on without clicking into anything.
Go to Sidebar → Dashboard to get here.
Greeting Bar and Quick Actions
At the very top, you’ll see a personalized greeting like “Good morning, Alex” along with today’s date and a summary line: “Here’s what’s happening across your projects.”
Next to the greeting, there are three quick action buttons:
- Onboard Client — Takes you straight to the Add Client form.
- New Project — Opens the project creation wizard.
- Invite Team — Takes you to the Team page so you can invite a new member.
These are shortcuts for the things you do most often, so you don’t have to dig through the sidebar every time.
Getting Started Checklist
If you’re new to Projexia, you’ll see a Getting Started card right below the greeting bar. It shows a list of setup tasks to help you get your agency running:
- Create your first client
- Set up a project
- Invite team members
- Configure the client portal
- And more
As you complete each task, it gets checked off automatically. Once you’ve finished everything (or if you just want to skip it), you can click Dismiss to hide the checklist permanently.
The checklist only appears if you haven’t completed all the setup steps yet. Once all tasks are done or you dismiss it, it won’t come back.
Stat Cards
Below the checklist (or below the greeting bar if the checklist is hidden), you’ll see four stat cards in a row:

| Active Projects | The number of projects currently in progress, plus the total project count |
| Clients | How many active clients you have |
| Team Members | The number of team members across all projects |
| Revenue | Total budget spent vs. total budget across all projects |
Each card is clickable — clicking on Active Projects takes you to the Projects page, Clients takes you to the Clients page, and so on.
The Revenue card also includes a progress bar. If you’ve spent more than 80% of your total budget, the bar turns red to warn you.
Task Overview
This is a large card that gives you a bird’s-eye view of all tasks across every active project. It shows:
- Total task count — The big number showing how many tasks exist in total.
- Completion rate — A percentage showing how many tasks are marked as Done.
- Task distribution — Four mini-cards breaking down tasks by status:
- To Do — Tasks that haven’t been started yet
- In Progress — Tasks someone is currently working on
- In Review — Tasks waiting for review or approval
- Completed — Tasks that are finished
Below the mini-cards, there’s a stacked progress bar that visually shows the proportion of tasks in each status. Each status has its own color, and a legend below the bar explains what each color means.
There’s also a link to Board view in the top-right corner of this card, which takes you to the Kanban board for a drag-and-drop view of your tasks.
Upcoming Deadlines
Next to the Task Overview card, you’ll see the Upcoming Deadlines card. This shows tasks that are due within the next 7 days.
For each task, you’ll see:
- The task name
- The project it belongs to
- The due date (shown as “Today”, “Tomorrow”, “3 Jan”, etc.)
Tasks with Urgent or High priority, or tasks that are due today or overdue, are highlighted with a red accent so they stand out. If a task is past its deadline, it shows something like “2d overdue” in red.
If there are no upcoming deadlines, the card simply says “No upcoming deadlines.”
Feature Highlights
Below the Task Overview and Deadlines row, there are four smaller highlight cards:

| Budget Spent | How much budget has been used, with a progress bar (turns red if over 80%) |
| Team Members | Total team member count with a link to the Team page |
| Templates | Number of saved project templates with a link to the Templates page |
These cards give you a quick pulse-check on key metrics without having to open individual pages.
Recent Projects
This card shows your latest projects in a list format. For each project, you can see:
- Project name
- Client name
- Status badge (Planning, In Progress, On Hold, Completed, or Cancelled)
- Progress bar with percentage
- Milestone count and team member count as small icons
Click on any project row to go directly to that project’s detail page.
There’s also a “View all” link in the top-right corner that takes you to the full Projects list.
Recent Activity
The last card on the dashboard is the Recent Activity feed. It shows a timeline of the latest updates and changes across your projects.
Each activity entry includes:
- Title — What happened (e.g., “Milestone completed”, “Status changed to In Progress”)
- Project name — Which project the activity belongs to
- Time — How long ago it happened (e.g., “2h ago”, “1d ago”)
- Who did it — The name of the person who made the change
Activity types are shown with different icons:
- Status Change — A flag icon
- Milestone — A star icon
- General Update — A message icon
- Deliverable — A package icon
- Feedback Request — A message icon
Some activities also show a health status dot next to the title:
- Green dot — On Track
- Yellow dot — At Risk
- Red dot — Off Track
This helps you quickly spot projects that might need attention.
The dashboard updates every time you visit the page. It pulls live data from your projects, so the numbers and activity feed are always current.
