Answers to common questions from team members using the Projexia Team Portal.
How do I access the team portal?
Your agency admin or manager sends you an invitation email with a link. Click the link, set your password, and log in. After that, you can access the Team Portal anytime by going to the portal URL.
If you haven’t received an invite, ask your manager to send one from the Agency Dashboard (Team → Invite Member).
Why can’t I edit tasks?
The Team Portal is designed to give you visibility into your work, not editing control. Task creation, editing, and status changes are managed by your project manager through the Agency Dashboard.
You can:
- View all tasks assigned to you
- See task details, priority, status, and due dates
- Filter tasks by status, priority, or search
You cannot:
- Create new tasks
- Edit task descriptions or due dates
- Change task status (drag on Kanban board)
- Delete tasks
If something needs to change on a task, let your manager know.
The Kanban board in the Team Portal is read-only. You can see where tasks stand, but you can’t drag them between columns.
How does time tracking work?
Time tracking has three parts:

Timer — Start a timer when you begin working. Select a project, optionally add a description, and click Start. Click Stop when you’re done. The time is logged automatically.

Manual Entry — For time you forgot to track, click “Manual Entry” and fill in the project, start time, end time, and description.

Daily Timesheet — View all your time entries for any day. Navigate between days using the arrow buttons.

What happens after I log time?
After you log time (either through the timer or a manual entry), it appears in your daily timesheet with a Pending status. Your manager then reviews it and either:
- Approves it (status changes to green “Approved”)
- Rejects it (status changes to red “Rejected”)
If a time log is rejected, check with your manager to understand why and whether you need to re-submit.
Can I upload files?
No. The Team Portal provides read-only access to files. You can browse and download files that have been shared on your projects, but you cannot upload new files.
If you need to share a file, send it to your manager and they can upload it through the Agency Dashboard.
Can I see all projects or only ones assigned to me?
You can only see projects you’ve been assigned to. If you’re part of 3 projects, you’ll see those 3. You won’t see projects that other team members are working on unless you’re also assigned to them.
Can I see other team members’ tasks?
No. You can only see your own tasks. However, on a project’s detail page under the Team tab, you can see who else is on the project and what their role is.
How do I change my password?
Go to the login page and click “Forgot password?”. Enter your email address, and you’ll receive a link to set a new password.
The timer was running but I forgot to stop it. What do I do?
If you left the timer running overnight or through a break, you can still stop it — the full elapsed time will be logged. If the logged time is inaccurate, let your manager know. They may reject the entry, and you can submit a manual entry with the correct times instead.
Make it a habit to stop the timer before closing your browser or stepping away. A quick check at the end of your workday can prevent accidentally long time entries.
