Clients
The Clients section is where you manage all the companies and people you work with. You can store their contact information, link them to projects, give them access to their own portal, and even customize the branding for each client.
Go to Sidebar → Clients to get started.
Client List
The main Clients page shows a table of all your clients. Each row displays:

| Primary Contact | The main person you work with — their name and email |
| Industry | What industry the client is in (e.g., Marketing, E-commerce) |
| Projects | How many projects are linked to this client |
| Portal | Whether the client portal is enabled, and how many active portal users they have |
| Created | When the client was added |
Filtering and Searching
At the top, there’s a filter bar with:
- Search — Type a company name, email, or contact name to find clients quickly.
- Status Filter — Filter by Active, Inactive, or Archived clients.
Actions Menu
Each client row has a three-dot menu (on the right side) with options:
- View — Opens the client detail page
- Edit — Opens the client edit form
- Delete — Removes the client (with a confirmation dialog)
You can also click anywhere on a client row to open their detail page.
Pagination
If you have more than 20 clients, the table is paginated with Previous/Next buttons at the bottom.
Adding a Client
Click the Add Client button in the top-right corner to open the client creation form. It’s a multi-step process:
Step 1: Company Info
Fill in the basic details about the company:
- Company Name (required) — The client’s business name.
- Email — The company’s general email address.
- Phone — Phone number with country code selector.
- Website — The client’s website URL.
- Industry — Select from common industries (Marketing, Software Development, Design, E-commerce, etc.) or type a custom one.
- Source — How you found this client: Referral, Direct, Website, Social Media, or Other.
This step also lets you add contacts — the actual people you’ll be working with at the client’s company.
For each contact, you can enter:
- Name — The person’s full name
- Email — Their email address
- Phone — Their phone number
- Designation — Their job title (e.g., “Marketing Director”)
- Primary — Check this to mark them as the primary contact
You can add multiple contacts by clicking the Add Contact button.
Step 2: Address & Billing
Enter the client’s address and billing details:
- Address — Line 1, Line 2, City, State, Postal Code, Country
- GSTIN — GST Identification Number (for Indian businesses)
- PAN Number — Permanent Account Number (for Indian businesses)
- Payment Terms — Notes about payment terms
- Tags — Add tags to organize your clients (type and press Enter)
- Notes — Any internal notes about this client
Step 3: Branding
Customize the portal experience for this client:
- Brand Color — Pick a color from the presets or enter a custom hex code. This color is used in the client’s portal login page and throughout their portal experience.
- Portal Login Message — A custom message shown on the client’s portal login page (e.g., “Welcome to our client portal. Log in to view your project updates.”).
Step 4: Review
See a summary of everything you’ve entered. You can go back to any step to make changes. There’s also an option to send a portal invite to the primary contact right away.
Click Create Client to save.
Client Detail Page
Click on any client from the list to open their detail page. Here’s what you’ll find:
Company Info Card
A summary card at the top showing:
- Company name and logo
- Email, phone, and website (clickable links)
- Address
- Industry
- Source
- GSTIN and PAN
- Tags
- Internal notes (editable inline — click to edit, click Save to update)
Contacts Tab
A list of all contacts for this client. Each contact shows:
- Name, email, phone, and designation
- Primary badge if they’re the primary contact
- Portal status badge: Inactive, Invited, Active, or Suspended
For each contact, you can:
- Edit — Update their information
- Delete — Remove the contact
- Send Invite — Send a portal invitation email (see Portal Invitations below)
- Resend Invite — If they were already invited but haven’t accepted yet
- Revoke Access — Remove their portal access
Click Add Contact to add a new contact person.
Projects Tab
Shows all projects linked to this client. Each project displays its name, status badge, and progress percentage. Click on any project to go to its detail page.
There’s also a quick link to create a new project for this client — it opens the project wizard with the client pre-selected.
Portal Access
A toggle that controls whether the client portal is enabled for this client:
- Enabled — Client contacts can be invited to log in to the portal
- Disabled — No portal access for this client
The portal is also automatically enabled when you send the first invite to any contact for this client.
Portal Invitations
Portal invitations let your clients log in to their own portal where they can view projects, approve deliverables, pay invoices, and more.
How to invite a client
- Go to Sidebar → Clients and click on the client.
- Open the Contacts tab.
- Find the contact you want to invite and click Send Invite from their action menu.
- The contact receives an email with a link to set up their password and access the portal.
Invite statuses
| Status | Meaning |
|---|---|
| Inactive | No invite has been sent yet |
| Invited | An invite was sent but hasn’t been accepted |
| Active | The contact has accepted the invite and can log in |
| Suspended | Portal access has been revoked |
Managing invites
- Resend Invite — If a client didn’t receive the email or the invite expired, you can resend it.
- Revoke Access — If you need to remove someone’s portal access, click Revoke Access. Their status changes to Suspended and they can no longer log in.
Make sure the contact has a valid email address before sending an invite. The invitation link is sent to their email.
White-Label Branding
Projexia lets you customize the look of each client’s portal so it feels like your own branded platform.
What you can customize
- Brand Color — Set a primary brand color that’s used for buttons, links, and accents throughout the client’s portal. You can pick from preset colors or enter any hex color code.
- Portal Login Message — Set a custom welcome message that appears on the client’s portal login page.
Where to set it
You can set branding in two places:
- Per client — When adding or editing a client (Step 3: Branding), you can set brand colors and a login message specific to that client.
- Globally — In Sidebar → Settings → Client Portal, you can set default branding that applies to all clients who don’t have their own branding configured.
If you’re a white-label agency, set each client’s brand color to match their brand identity. They’ll see their own colors when they log in to the portal, making it feel like a platform built just for them.
