Getting Started — For Clients

Welcome! Your agency uses Projexia to keep you in the loop on your projects. Through the client portal, you can see exactly what’s happening with your work — no need to send emails asking for updates.

This guide will walk you through everything you need to know.

Step 1: Accept Your Invite

Your agency will send you an email invitation to join the portal. Here’s what to do:

  1. Open the email from your agency (check your spam folder if you don’t see it).
  2. Click the Accept Invitation link in the email.
  3. You’ll be taken to a signup page.

The invitation link expires after a certain period. If it’s no longer working, reach out to your agency contact and ask them to resend the invite.

Step 2: Create Your Account

On the signup page:

  1. Enter your full name.
  2. Create a password (pick something strong that you’ll remember).
  3. Click Create Account.

That’s it — you’re in! No complicated forms, no credit card needed. Your agency handles all of that.

Step 3: Explore Your Dashboard

After logging in, you’ll land on your Dashboard. Think of it as your home base. Here’s what you’ll see:

  • Project Stats — A quick summary of how many projects are active, completed, or on hold.
  • Recent Activity — The latest updates from your agency, like new files uploaded or milestones completed.
  • Upcoming Deadlines — Important dates coming up so you’re never caught off guard.
  • Pending Actions — Things that need your attention, like approvals waiting for your review.

Check your dashboard regularly. The “Pending Actions” section is especially useful — it shows you if your agency is waiting on you for something.

Step 4: Take the Guided Tour

The first time you log in, a guided tour will pop up automatically. It walks you through every section of the portal step by step, highlighting where things are and what they do.

The tour only takes a couple of minutes, and it’s a great way to get familiar with the layout.

Missed it or want to take it again? No problem — click your profile picture in the top-right corner and select Take a Tour from the dropdown menu.

Step 5: Check Your Projects

Go to Projects in the sidebar to see all the projects your agency is working on for you.

You can browse your projects in two ways:

  • Board View — Visual cards organized by status (like a kanban board)
  • Grid View — A traditional list with all the details in rows

Click on any project to see more details:

  • Milestones — The major phases of the project and their progress
  • Updates — Notes and status reports from your agency team
  • Team — Who’s working on your project
  • Task Summary — A high-level view of how many tasks are done, in progress, or remaining

You can see task summaries, but the detailed task breakdown is managed internally by your agency. If you need more detail, just ask your agency contact or submit a request.

Step 6: Submit a Request

Need something from your agency? Have a question? Found a bug? Use the Requests feature instead of sending an email — it keeps everything organized in one place.

  1. Go to Requests in the sidebar.
  2. Click New Request.
  3. Fill in:
    • Subject — A short title describing what you need
    • Description — The details. Be as specific as you can.
    • Priority — How urgent is this? (Low, Medium, High, Urgent)
  4. Click Submit.

Your agency will get notified right away. You can track the status of your request and continue the conversation right there — like a built-in chat thread for each request.

Step 7: Update Your Profile

Take a minute to personalize your account:

  1. Click your profile picture (or initials) in the top-right corner.
  2. Select Profile.
  3. You’ll see three tabs:

Set up your notification preferences early. This way, you’ll get alerted about the things that matter to you — like new invoices or approval requests — without getting overwhelmed.

Other Things You Can Do

Here’s a quick overview of the other features available to you:

  • Approvals — Your agency may send you deliverables to review and approve. You can approve, request changes, or leave notes directly on the work.
  • Invoices — View invoices from your agency and pay them online with a single click.
  • Files — Browse and download files your agency has shared with you. You can also upload files for them.
  • Messages — Chat with your agency team in real time, right inside the portal.
  • Reports — Read detailed project reports your agency has prepared for you.

  1. Submit a Request — Your agency’s support team will help you out.
  2. Use the Messages feature — Send a quick message to your agency contact.
  3. Retake the guided tour — Click your profile picture → Take a Tour to walk through the portal again.
